A Brief Overview


The Executive Assistant will manage calendars, handle confidential information with discretion, schedule complex travel arrangements, plan and coordinate meetings, and perform special projects as assigned. The rolerequiresunderstanding the business and the demands of different parties to be a key partner in providing proactive administrative support.

What you will do

  • Filters, organizes and prioritizesa large volume of communicationsfor the executivesuch aswritten correspondence, virtual meetings and phone calls.
  • Drafts and creates general correspondences,PowerPoint presentations, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
  • Acts as a liaison with other departments and outside organizations, including senior leaders such as CEOs, presidents, and vice presidents to proactively coordinate calendars and anticipate future needs based on changes in the business. Handles confidential and non-routine informationusing good judgementand explains company policies and procedures when required.
  • Schedules and organizes complex activities such as meetings, travel, conferences and department activities forthe senior leadership teammemberand as requested by other membersof the departmental leadership team,including managing travel planning for domestic and international travel, including booking air travel, hotel, ground transportation, and other travel coordination for multiple travelers.
  • Acts as project manager for special projects, which may include: planning and coordinating multiple presentations, disseminating information, coordinating communications and events.
  • Maintains strong understanding of the business to anticipate needs of the executive and continuously identify conflicts, mitigate problems and improve efficiency.

Experience Qualifications

  • 4-6 years Required

Skills and Abilities

  • Exemplary written and interpersonal skills. Must exercise excellent judgment and diplomacy in all interactions with internal and external leaders.
  • Superior organizational and prioritization skills; strong follow-through on tasks and works well under pressure.
  • Strong analytical and problem solving skillswith the ability to foresee potential problems and contingency plan accordingly.
  • Experience with calendar management, meeting and event planning and preparation of presentations.
  • Takes aproactive approach to the job with a passion for making other's jobs easier through proactively anticipating needs.
  • Advance use of Microsoft Office Tools such asMicrosoft Outlook, Word, Excel and PowerPoint.
  • Extremely resourceful, efficient, and collaborative with a demonstrated ability to work in a complex matrix organization.
