Job Description
The Administrative Assistant will support clients and coworkers alike by ensuring that they are organized and successful business professionals in an office environment with structure and support.  The Administrative Assistant will serve in an essential role to the assigned business unit to ensure efficiency. 

Essential Functions*
  • Type, edit, and coordinate documents
  • Receive and process telephone calls, sort and coordinate mail, copy/laminate requests, travel requests, etc.
  • Coordinate and schedule meetings
    • Room reservations, calendar invites, food pick-up
  • Ensure logistics are handled for major meetings / events
    • Communication and follow-up with external vendors, partners, etc. in a professional manner
  • Coordinate travel arrangements and process expense reports post travel
    • Provide updates/follow-up when needed
  • Support external & internal customers
    • Requisition entry for purchasing

Other Duties and Responsibilities (Non-Essential Functions)
  • Generate meeting minutes and notes
  • Assist in special projects
  • Maintain and organize digital files
  • Support TRC Inc.’s Quality and EH&S (Environmental, Health, and Safety) efforts

  • High school diploma
  • Valid driver’s license
  • Efficient typing skills
  • Detail oriented organization and support for project managers
  • Epicor, Dynamics 365, and SharePoint experience preferred
  • Working knowledge of Microsoft Office Suite as listed:
    • Excel – initializing and maintaining formulas, pivot tables, VLOOKUP function
    • Word - mail merge, letterhead, labels, formatting
    • PowerPoint - formatting, editing, merging presentations
    • Outlook - scheduling meetings, reserving rooms, viewing others’ calendars, organization of emails, integrating  MS Teams
  • Demonstrated business writing, composition, spelling, grammar, and editing skills
  • Demonstrated communication and interpersonal skills
  • Demonstrated organization and problem-solving skills
  • Ability to work both onsite and remote as needed
  • Ability to read and comprehend verbal, written, and visual instructions

Working Conditions
  • Standard office, climate controlled environment
  • Possibility for remote work at times

Physical Requirements
  • Must be able to remain in a stationary position for an extended period of time
  • Ability to operate a computer and other office equipment
  • Ability to communicate with clients and coworkers
